ABSTRACT

This article aims to “Reorganize the physical structure of inventory and develop inventory control training”. With the help of the 5W2H tool in the inventory sector of casa monsenhor company, in order to reduce item waste and financial losses. Thus expanding profitability and maintaining the quality of products. Casa Monsenhor is characterized as a microenterprise and operates in the food services business. According to the case study, the organizational diagnosis indicates that the most critical zone is in the logistics sector, because the company has no inventory, generating waste. The study had a thorough investigation, through techniques of methodology and scientific methods, in addition to making a quali-quantitative approach and, based on exploratory research. To give more scientificity and success to the theme, we used the bibliographic research of authors who approach the proposed theme, in order to have a more concrete theoretical foundation of the proposed facts. To follow up the study, it was found the need to implement a training for the process of productive production sums. Through the 5W2H tool, it was possible to formulate a detailed strategy for improving the organization of the environment, since the company does not present a stock and with the structuring of it, employees will have an orderly control and vision of where the materials and materials will be stored for the provision of quality services to their customers. Improving service, organization in the sectors and consequently boosting sales in the company Casa Monsenhor.

1. INTRODUCTION

This article originated from the case study conducted at Casa Monsenhor through organizational diagnosis, according to analysis and investigations, identified a problem existing in the company, and recognized that there is a need for improvements in the logistics sector. Given the analyses carried out in the functional areas of Casa Monsenhor, it was found that the lack of inventory is one of the main factors of the disorganization and control of the company’s insums, causing uncertainties for the enterprise, because it is necessary that the organization has an inventory control, so that there is no loss of credibility.

Given all the above, it is understood that the manager needs to create strategies for the reorganization and implementation of a stock, as a way to ensure cost reduction, increased productivity and in the planning of purchases of specific products, to maintain the standard of product quality.

The quality of services corresponds to customer satisfaction. However, satisfying customers is not an easy task, since people tend to have different tastes and needs, it becomes difficult to satisfy everyone. The difficulty is in revealing what they really want, because often these subjects can mess with the emotional side of individuals, influencing the choice of products.

Organizations seek to offer products and services to their customers, maintaining their quality standard and seeking to meet all levels of demand of each customer, valuing and offering high quality products, with differential in the service and training of their employees, to meet the demand that the market needs. The research aims to suggest the implementation of inventory management and control, to improve service and consequently increase the profitability of the business.

Therefore, the article aims to identify inventory management tools, which can perform the control of entry and exit of the company’s products more efficiently, enabling a more effective control of inputs, considering that inventory management is something fundamental for a company, being large, medium or small so that there is organization. This article aims to present the importance of inventory control and/or management, aiming to ensure a form of prevention for possible problems and ensuring customer satisfaction.

2. THEORETICAL FOUNDATION

Doubt can cause uncertainty, and difficulty in solving problems, which can be easy or difficult to solve. And for this, science offers theoretical concepts, considerable and the presentation of the evolution of knowledge in certain areas, which aims to help the theoretical foundation of work.

The theoretical foundation serves as a support, because it brings theoretical references based on studies and research already carried out, such as research in newspapers, reports, articles, books and other forms of research.

For Vergara (2016), the theoretical framework is an essential part of the project, as it aims to present the studies based on the theme, or exclusively on the problem already carried out by other authors.

Therefore, the beginning of the discussion seeks to understand the stock concept, the processes of insums and the importance of applying an inventory system, so that the organization has power to control the insums.

2.1 PROCESS OF PRODUCTIVE PRODUCTION INSUMS

The materials are goods that can be transformed punctually into products, such as the raw material. These are the resources that move the system of the organization and large companies, and it is also essential for the final result of the product, to have a good workforce, good capital and efficient equipment so that a value is added to the final product.

With the increase in globalisation and new industries, the supply of products in the food sector has raised the level of increasing demand on the part of consumers.

In the food industry, quality management is fundamental and extremely important, since the main focus is on the satisfaction that the product will provide to its customers and, in the loyalty of new entrants, with this quality is directly related to health and food safety and, for this it is necessary laboratory tests to obtain quality products.

For Benallou (2018), in the food industries, manufactured products are developed through the physical or chemical transformation of the inputs used, and multiple transformations are constantly needed in the inputs and tests to know the quality of products that please the consumer.

The main objective of inventory management is to maximize the lubricating effect on sales feedback and adjust production planning, and should decrease the capital invested in inventories, as they are expensive and are always increasing. There is no possibility of any company working without stock, the responsibility of its managers only increases. One of the priorities of financial managers is the reduction of inventories, said this article aims to elucidate about inventory management.

2.1.1 INVENTORY CONTROL

Inventory control is focused on products that are on display for sale, knowing that the products may or may not be perishable, run the risk of loss by validity or non-sale of the product in stock, so that this will not be a possible problem for the company, it is necessary to implement tools that can assist in inventory management.

For Dandaro and Marteli (2015), man began to use instruments and create his own machinery that enabled the production of consumer goods, with the development of serial production, and with the arrival of evolution through the aid of computers, large industries start to establish and give more importance to inventory management control systems , using tools such as MPR and ERP.

Material Requirements Planning (MPR) aims to reduce inventory investment by making use of the right material and in the right quantity. The objective of implementing MPR I is: To reduce inventory costs, to control perishable products, to reduce improductivity, so that productivity is not affected by the lack of materials.

What the tool does is check the stock balance by calculating the output forecasts and requirements according to the data at your disposal. In order to achieve its objectives, any and all companies need interaction between its departments or processes. This interaction should be as efficient as possible, so that the efforts of the departments are gone.

For Silva (2019), the Integrated Business Management System, known as enterprise resource planning (ERP), is a software that has its purpose to assist in business management, automating the process and integrating areas. Using this inventory control tool increases reliability and integration between areas. Knowing that certain companies are required by the government to use the system for various functions.

To have positive results with this system, the company must determine a set of performance indicators, along with policies and objectives that correspond to these indicators or organizational needs. Whenever possible, technological changes are anticipated. In order to achieve an effective change, it is necessary to training employees who are essential to direct the responsibilities of data measurement systems.

There are several errors related to the lack of inventory control, which can directly affect the replacement of goods, because without a control or tool that can assist this replacement, it becomes impossible to know the exact time and quality required to reset the used.

An effective and efficient replacement, can only be maintained through the inventory control that has been updated, thus avoiding the lack of goods that can generate customer dissatisfaction, which may not find the desired product, for lack of the product that should be at your disposal when requested.

Therefore, in the control of activities the use of technology, has been put in order to give more security and transparency to operations, it is no longer possible to control the constant need for stock movement, without the effective participation of the technology.

2.1.2 PHYSICAL STRUCTURE OF STOCK

The storage location of the raw material is of great importance, because its dimensions will determine the exact amount of how much material can be allocated and how much stock the company needs for a given pre-established time.

The storage system is of paramount importance to the company, this is the element responsible for controlling the processes from which one can highlight:

  • The receipt of the material, registration, conference of items, separation of items and destination to stock;
  • the storage and allocation of the insums in their respective place;
  • The entry and exit of the items to service

For Fabrimetal (2016), the raw material storage system requires much more attention than the storage of the final product, to ensure productivity for the company, providing cost reduction through the correct control of inventories, and ensuring the distribution of items in a timely manner, in addition to the separation between lots to ensure greater speed production or distribution.

Fabrimetal (2016), continues to discuss that the storage system ensures the best use of space, rational use of labor, equipment and energy, higher turnover of items, loss control and faster service to the various needs of the company.

The understanding of the entire area and the conjuncture of the physical arrangement complement the possession of an administrative plan, and this information can give efficiency in the layout process.

So the warehouse is basically the structure that is used to store the products or goods. The stock is how much of a particular product has been stored. In many companies the term stock and warehouse merge and end up becoming synonymous. It is important to differentiate the two, for a better understanding of what will be addressed in this article.

2.1.3 CYCLICAL INVENTORY AND ROTATING INVENTORY

Cyclical inventory refers to the count of inventory that can be carried out for periods, which may be in accordance with the established by the company, and can be done at regular intervals throughout the year, whether daily, monthly, bimonthly or semiannual. Each measurement of products is concentrated in a grouping of items, so that at the end of a given period all inventory is accounted for.

The items that will be selected for the cyclic inventory and the counting period, have their definition established through criteria and classification, and each company uses what is most directed to its type of business and product, based on its particular situation and its Inventory Control Policy. According to these definitions can be considered the turnover of the materials, the value of the commodity, the loss index, among other relevant factors. For the main criteria for use in cycle counts, we can mention:

  • By sampling, which has the function of determining a percentage of products to be
  • For Moved Items, which is the count only of the goods that had or were handled in a given
  • By quality, the purpose of which is to analyze the quality of a particular group of
  • By products, in the case of the counting of a grouping of goods which are in

As already explained, the best choice of one of the cyclical inventory models, is given the verification of which adapts the specificity of each business, however when determining the plan of cyclical counts, it is essential to consider that all items of inventory are accounted for at least once a year.

The rotating inventory, aims to increase efficiency in the company’s processes, because this type of inventory, can be done without stops in the production processes and can be carried out during the progress of the fiscal year of the company, becoming more advantageous, because it does not require inventory outages or a high number of employees involved in the counts, which can be carried out daily.

For Almeida and Saraiva (2015), good inventory management and inventory are important and indispensable, because they help predict the difficulties and thereby elaborate preventive actions.

Therefore, the rotating inventory, allows the correction of possible errors, also aims to reduce efforts, because as demonstrated it is not necessary to count all the stock, but only a part of it, obtaining results more quickly and efficiently, having low cost, because its control is done daily, so the team becomes specialized for the realization of the inventory , since when you apply this system you can have a higher accuracy of the stock.

2.1.4 DELIVERY SERVICES, THROUGH ONLINE PLATFORMS

With the advance of new mobile technologies present in the Brazilian scenario, it is highlighted that for some time new consumption patterns are emerging, considering the factor related to the popularization of smartphones nationwide, there is a broad market niche for companies to enter this new online market.

With these new changes and with the emergence of the digital age, forms of relationship between companies and consumers have become more practical, and frequent use by companies for example: social networks, streaming services and messaging applications, which has become a very important tool for companies, because with the increase of users on digital platforms , organizations have found an opportunity to spread their brands and products, and thus manage to have a greater reach to several people, in order to collect new audiences and win over consumers.

Even with this promising scenario, the Brazilian market is still adapting to this new market strategy, there are indications that this phenomenon is still little explored by companies, because not every organization is adapted to this new era. Taking into account that currently, the large mass of the population has a cellular device in hand, it becomes easier to contact companies and restaurants in real time, where customers can place orders online and with the opportunity for remote payment, receiving the request without much effort compared to the traditional model, in which the customer has to get around to the restaurant to carry out the whole process.

Moraes (2017), states that the change in the way of consuming products is, resulting from the influence of innovation incorporated by mobile devices, already adapted by specialized professionals as a new marketing tool, to serve consumers anywhere and anytime.

3. MATERIALS AND METHODS

For Zanella (2013), method is the way and form that the individual chose to acquire knowledge in a given object, fact or phenomenon. It is a series of intellectual and technical procedures, to achieve a certain knowledge.

The Methodology is a word that can be defined as a way to accomplish something, can also be considered as the field of logic, where the best methods and tools for the best development of research are practiced, besides clearly and objectively describing how the research was performed.

Therefore, this work will use several effective methods, so that solutions to the problems encountered in the inventory management structure in casa monsenhor are objectively developed.

3.1 METHODOLOGICAL PROCEDURES

The present methodological procedures used to elaborate the research were developed during scientific work, methods that seek to unravel the information obtained through field research. Doing periodic interviews with casa monsenhor company, seeking to find the know-how that best fit for the solution of problems found in the structure of inventory management.

3.1.1 AS TO NATURE

For Zanella (2013) there is, therefore, a doubt, and this doubt generates a question, which in turn triggers operational and intellectual activities, specific to a scientific investigation.

The nature used in this project was in an applicator mode, since the process tools and technologies planted, can be used from the delivery of this project.

The research had a quali-quantitative approach, because at first, a data analysis was performed through interviews with the company’s founders, and with the general manager of Casa Monsenhor, and information was collected with other employees, also performing a more subjective analysis through direct observation being qualitative.

3.1.2 FOR THE PURPOSES

According to Correa and Costa (2012), during the case study, exploratory research has appropriate tools, which will assist in the organization of exploratory work, in order to unravel all doubts and set objectives.

As for the purposes, the exploratory research was based on the theme of how a stock strategy, can contribute with greater agility in the completion of sales processes, and a research in a basic and strategic way.

3.1.3 AS TO THE MEANS

Carvalho (2019), discusses the means a mode of research, which aims to define a problem in research, through data collection and analysis, have the opportunity to formulate strategic means for solving problems.

As for the means, it was based on the field research that occurs through information collection, free interviews, survey and interpretations of collected data, with primary objectives for the elaboration of a synthesis proposal, based on didactic and dialectical inductive methods.

3.2 COMPANY FEATURES

The Comercio de Bolo LTDA, better known as Casa Monsenhor, is located at Rua 10 de Julho, n°456, next to the church São Sebastião, in the center of Manaus. The company was founded on September 9, 2016, as a boutique of breads and cakes, at first only cakes were sold and, over time the company was improving, and began selling breads, pies, drinks, among other varieties.

Currently the Monsean House is well-seen by the residents of the region, the goal of the company is to expand nationally and internationally. The company has 12 employees, a chef, interns and kitchen assistants.

The company has as differential, the attendance to events such as afternoon teas, with characters and feijoada on weekends, becoming a boutique accessible to the public, maintaining its standard of quality and seeking to meet all levels of customers, valuing and offering high quality products.

4. RESULTS AND DISCUSSIONS

Based on the studies carried out in the organizational diagnosis stage, and based on exploratory analyses, it was possible to identify that the company under study has positive and negative points, based on Graph 01: Performance Measurement that presents the score of each area: Administrative, Operational, Financial, Marketing, Logistics and Human Resources.

A quantitative research was conducted with the employees of casa monsenhor, where ten critical factors were evaluated between 1.0 (very weak point) and 5.0 (very strong point), where the sum of the points resulted in the graph above. It is verified that the areas of administration and marketing, have better performance scores. Finance, human resources and operations are areas of average performance, while logistics is considered the most sensitive area of the organization, with a below average score requiring more attention from managers.

With the identification of the critical point, it was possible to elaborate the solution proposal, with the objective of proposing the best solutions strategies for the organization to succeed. Below is the logistics table, area evaluated as the most critical.

According to the critical factors shown in table 01, fundamental factors are identified in the logistics area at Casa Monsenhor, which are extremely important for the production of quality products and an efficient finishing process. Given the lack of inventory, the insums do not have adequate conditions and the lack of control and registration of products hinders the organization of materials, causing a disorder in the company.

4.1 ACTION PLANNING

The planning of actions, is a tool that has as main objective, generate and organize the ideas, to achieve a certain goal pre-established in the development of the action, to which it is incumbent to develop each of them and verify the progress of the planning.

In addition, a thorough analysis of each area of the organization is necessary, so that weaknesses that may be harmful to the company are found in the future, after verifying the weaknesses, it will be possible to develop and develop solutions to the problems that have been encountered within the organization.

After performing analyses in each functional area, and having found the critical factors in the logistics area, interventional actions were developed that are productive suggestions. The solution proposal of each action was used, 5W2H tables, an effective quality tool, aiming to identify the actions and perform a work, aiming to answer seven fundamental questions.

According to Mello (2016), the 5W2H tool is defined as an action plan that focuses on a checklist to make the result necessary and accurate, for this it is important to formulate the effective questions, which will consent through coherent answers, a good general planning for decision making.

4.1.1 IMPLEMENT TRAINING FOR THE PROCESS OF PRODUCTIVE INPUTS

The training proposal take place through a Workshop, for the qualification of the stock management of the company Casa Monsenhor. Training that comes meeting to check the skills and techniques of employees and company manager. To avoid the accumulation of unnecessary products, loss of products by shelf life, poor storage of inums that are linked to the production of products such as breads, cakes, pies and others.

And also avoiding the excessive purchase of daily products, as is currently being done at the company. With inventory management employees will learn how to order products that will be used monthly, how to feed the spreadsheet of products that are used daily in the company, how to keep the supply of rotating stock and check the product that is most requested by its customers.

The implementation of the training will be carried out by a professional in the area of inventory management, who will serve to standardize the procedure of productive inputs of the company Casa Monsenhor, being carried out in April 2021, through a workshop directed to the company manager, so that it can adapt to inventory management and standardization of supplies. Based on market prices for training people, the market value is R$ 550.00 reais.

4.1.2 DEVELOP INVENTORY CONTROL TRAINING

During research at the company Casa Monsenhor, it was found that the company does not have inventory control, thus generating a turnover in the purchase of products, where the manager had to let go of his chores, to go to the supermarket to make the purchase of inputs. Inventory control is responsible for providing reliable data for effective purchasing management.

With the Inventory Control Training that records the inflow and outflow of products, it enables optimization and efficiency for the company’s replenishment, and also minimizes the need for daily purchases to meet the need for certain products.

The development of a stock control training, will be carried out by a professional in the area, aiming at the improvement of the replacement control of materials in the company Casa Monsenhor, which will have the direction for the employees of salon and pre-salon of the respective company, being implemented in May 2021, at the value studied in the market of R $ 450.00 reais.

4.1.3 REORGANIZING THE PHYSICAL STRUCTURE OF THE STOCK

Inventory control ensures that the company has complete security over the products that are stored, making the manager aware of each exit and entry, so that he knows which product is demanding replenishment.

With the Development of fixed stock, the manager keeps more organized his products and keeps track of stock withdrawal, avoiding losses and losses that may generate loss for the company.

Therefore, with inventory control being carried out daily, one can keep more organized the inputs allocated in the company, making the turnover of incoming and outgoing products, cease to be daily for a replacement that may turn out to be monthly or even bimonthly.

The introduction of stock in the company Casa Monsenhor, will be prepared by a professional in the area, who uses an appropriate place within the company, for the handling of kitchen, lounge and pre-salon inputs, which will be free ly accessible to the manager and other employees, based on the preparation of the inventory spreadsheet of productive inputs, being implemented in July 2021. Based on the value studied in the market is R$ 250.00 reais.

4.1.4 IMPLEMENT CYCLICAL INVENTORY AND ROTATING INVENTORY

With the monthly quarterly and annual control, the manager has in hand the possibility of knowing which of its products is being most demanded by customers, and which product is having the least demand.

With the organization of these processes, the manager has full control over the expenses of the ingredients that are being used in the company, being able to make balance sheets to verify your product with more demand, the famous star product.

In view of these growths and verifying that this is a niche market, the company is missing profit opportunity because it has no delivery options, knowing that it can be a great chance to expand its business. The implementation of the delivery service can be seen as a tool for the dissemination of the company and its products and a way to obtain profitability.

5. FINAL CONSIDERATIONS

The analysis made in the company Casa Monsenhor, made it possible to observe that the most sensitive functional area of the company is logistics, due to lack of inventory. This fact can cause a low efficiency and even the loss of the quality of the products offered. To develop an effective solution, it was necessary to collect information through questionnaires and a thorough analysis of the functional areas of the organization.

Thus, it was essential to develop improvement strategies to make the company’s logistics more efficient, using solutions applied through the implementation of a quality tool in the inventory sector. It can be observed that the main objective of the work was the implementation and reorganization of the structure of inventory control, with the aid of the 5W2H quality tool.

The tool 5W2H, has as its task to organize and present how each solution will be made according to the proposal in the case study, so that they can promote improvements within the company Casa Monsenhor, knowing that the inventory sector is a critical area, it is of fundamental importance to avoid the loss of productivity due to lack of productive insums and, for lack of products on display to potential customers.

The tools used for the management of improvements in the company, should be used to control all movements of operations and the various areas of the organization, having mastery of the needs of casa Monsenhor and the participation of this, purchases and even sales, so that the control and quality of the products and services offered are not lost.

The ABC curve used as a necessary tool will have the purpose of demonstrating how much of the resources are being demanded by products, and can be used to control the cyclical stock, in order to improve the input of productive inputs and, finally, increase the productivity of the company, in addition to promoting improvements in inventory management and control. Thus promoting continuous improvement in the company’s processes.
